The problem

Most schools don't lack records. They lack one place to keep them.

Attendance in a register, fees in a ledger, marks in a spreadsheet, notices on WhatsApp. Every number has to be copied somewhere, and every copy is a chance to be wrong.

A term on paper Today

  • Fee reconciliation takes the office three days a month
  • Parents hear about an absence the next day, if at all
  • A transfer certificate means retyping details by hand
  • Result compilation eats two weeks of teacher time
  • Management reports are assembled the night before a meeting
  • The same student's name is spelled three different ways

The same term on xtraclasses With ERP

  • Collection and dues reports are ready whenever you open them
  • Absence alerts reach parents within the hour
  • Certificates generate from the existing record in minutes
  • Teachers enter marks; report cards build themselves
  • Any report — class, section or school-wide — on demand
  • One record per student, from admission to transfer

How it works

One record, entered once, used everywhere

This is the whole idea behind an ERP, and it's worth being precise about it. A student is created a single time, at admission. Every other module reads from that record rather than keeping its own copy — which is why the numbers stop disagreeing with each other.

  1. Step 1

    Admission creates the record

Name, guardian, class, section, roll number and documents are captured once and given an admission number.

  2. Step 2

    Daily work writes to it

Attendance, homework, marks, fee receipts and transport allocation all attach to that same student.

  3. Step 3

    Parents read from it

The parent app shows the same figures the office sees — there is no separate copy to reconcile.

  4. Step 4

    Reports assemble themselves

Because nothing was re-typed, any report — attendance, fees, results — is generated rather than compiled.

Teacher & parent apps

The ERP goes home in everyone's pocket

A school system that only works in the office isn't much use to a teacher with five classes or a parent working in another city. Both get an app that does the part they need.

  • Teachers mark attendance, set homework and enter marks
  • Parents see attendance, fees, results and notices
  • Works on modest Android phones and slow connections
  • Hindi and English throughout

What the people who signed off on it say

Buying an ERP is a management decision. These are the people who made it.

My honest worry was the staff. Half our teachers had never used school software. They were marking attendance on their own phones by the end of the training day.

Questions

School ERP questions, answered

What is a school ERP?

A school ERP is software that keeps admissions, attendance, examinations, fees, staff records, transport and communication in one system. Information is entered once and becomes available everywhere — to the office, teachers and parents — instead of being copied between registers, spreadsheets and message groups.

How long does it take to set up?

About a week for most schools. We migrate your existing data in the first two days, configure classes, fee structure and grading in the next two, train your staff, and go live around day seven. Larger schools with complex fee structures sometimes take a few days longer.

Can you import our existing student data?

Yes. Send whatever you have — Excel sheets, an export from an older system, or even scanned registers — and we clean and import it as part of onboarding. There is no separate migration charge.

Which boards does it work with?

Any board or affiliation. The ERP doesn't assume a syllabus — your classes, subjects, grading scheme and certificate formats are configured to match how your school already operates, whether that's CBSE, ICSE or a state board.

Do teachers need a computer?

No. Teachers do attendance, homework and marks entry from the app on their own phone. The office typically uses a computer for fees and certificates, but everything works in a browser — there is nothing to install.

Will it work on our internet connection?

The system is built deliberately light so it loads on 2G and keeps working through patchy connections. This was a design requirement, not an afterthought — a large share of the schools we work with are in semi-urban and rural areas.

How is our data kept secure?

Data is encrypted in transit and at rest, access is controlled by role so staff only see what their work requires, and backups run daily. Each school's data is kept separate and belongs to the school — you can export it at any time.

Can parents pay fees online?

Yes, and cash and cheque payments recorded at the counter appear in the same ledger, so your collection report is complete either way. Digital receipts go to parents automatically.

What does it cost?

Pricing depends on your student count. All twelve modules are included at every size — there are no per-module charges and no setup fee. Book a demo and we'll send a written quotation for your school.

What support do we get after going live?

Phone, WhatsApp and email support during working hours, plus a named onboarding contact who stays with you through your first academic term. Refresher training for new staff is included.
